Acquittals

If you receive a grant from Creative Victoria, you’ll need to complete an acquittal report at the conclusion of your funded activity. This is an online process which evaluates the project and reports back on how the funds were spent.

The acquittal process and requirements differ between our programs and at different funding levels.

What do I need to provide?

In general, an acquittal form asks you to provide:

  • a description of your project and how it met your objectives
  • an evaluation of the impact of your project, including things like attendance figures, community impact and creative outcomes
  • a financial reconciliation, showing your actual finances compared with the budget you submitted to Creative Victoria
  • supporting documentation, including reviews, photos, recordings, manuscripts etc.
  • feedback on the Creative Victoria program.

Your acquittal will be due after the conclusion of your funded activity. If you would like to start preparing for this milestone in advance, use the Acquittal guidance document that sets out your acquittal requirements on the program web page. When you receive the link to your acquittal form, you’ll be able to simply copy and paste the information from the guidance document into the online form.

Note: Grants of $50,000 or more may require an independent certified practicing accountant/financial auditor's opinion or certification of grant expenditure as part of the acquittal process. Please see your funding agreement for details on the financial information required.

Why am I required to acquit?

The information you provide in your acquittal report will:

  • account for your use of public funds, demonstrating that the funding was used for the purpose for which it was intended and in accordance with your Funding Agreement
  • assist Creative Victoria in assessing how successful funding programs are in meeting the needs of the creative sector and the Victorian community
  • provide you with the opportunity to make suggestions regarding improvements to the funding program.

Once Creative Victoria has received and accepted your acquittal report, you’ll have completed all your obligations under the Funding Agreement.

If you don’t acquit your grant satisfactorily you won’t be eligible to apply for further Creative Victoria funding and action may be taken to recover the grant.

How do I complete my acquittal?

An acquittal is the final milestone in your grant agreement and the due date will be set out in your Funding Agreement.

If you want to get started early, you can use the table below to access the online acquittal guide relevant to your grant.

You will be emailed information about the acquittal process and timeline before the due date. You must submit your acquittal within a specified period following the conclusion of your funded activity.

This email will contain a unique link to your acquittal form and will be emailed to you 30 days before the due date, on the due date, and 14 days after the due date of your acquittal.

If you received a grant after 1 July 2021 your acquittal will be completed via the Department Grants Portal.

Contact your Creative Victoria Program Officer if you have trouble downloading your acquittal guide or require an alternate format, or if your program doesn't appear in the list.

Please note: If you received a Creative Victoria grant prior to 30 June 2021, your acquittal will be submitted via the Creative Victoria Grants Portal. You will receive an email reminder to log in to the portal.  Once in the portal you will see an acquittal area to complete.

Can I change my acquittal deadline?

If your project timeline changes or you can’t meet the deadline for another reason, reach out to your Creative Victoria contact to discuss a new deadline.

Note: If you don’t acquit your grant satisfactorily (incomplete or overdue) you won’t be eligible to apply for further Creative Victoria funding and action may be taken to recover the grant.
